POSITION SUMMARY:

The Assistant Project Manager is responsible for the coordination and administration of the development and construction process for UrbanStreet Group and primarily supports the Senior Project Manager and Project Manager over the lifecycle of each project.

This person will be involved from initial site selection, through the entitlement process and provide oversight of the design, construction, FF&E and turnover process. The person in this role is responsible for coordinating project tasks and deliverables with consultants such as Architects, MEP, Structural and Civil engineers, Landscape Architect, Interior Designers, owner-hired subcontractors, vendors and suppliers as well as being part of the Owner Representative team. This person will be responsible for the maintenance and organization of all project files, as well as distribution of project documents as needed. In addition, this person may from time to time be responsible for sending out RFPs to various contractors, qualifying bids and proposals, and managing trades. Work locations can vary between jobsites and main office.

MAJOR RESPONSIBILITIES:

ï‚· Review reports, plans and other documents for relevance to the project or cost implications, construction conflicts, Value Engineering and overall space planning.

ï‚· Support the project team including Civil Engineer, Traffic Consultant, Market Study Consultant, Architect, Structural Engineer, MEP, Landscape Architect and other consultants as required.

ï‚· Manage bid specifications, exhibits and drawings.

ï‚· Research and pre-qualify new consultants, subcontractors and suppliers.

ï‚· Prepare, transmit and qualify bid packages or Request for Proposals (RFPs).

ï‚· Collect, organize and manage subcontractors’ bids, registrations and certificates of insurance.

ï‚· Digital filing of various reports and documents.

ï‚· Facilitate communication between consultants, general contractor, management company and other stake holders.

ï‚· Coordinate information required for bank inspectors and the monthly inspection process.

ï‚· Coordinate lease documents, Landlord requirements and landlord deliverables.

ï‚· Interact with retail Brokers, Tenants and Tenants Consultants.

ï‚· Assist in preparing construction budgets and evaluate of cost-effectiveness of line items.

ï‚· Assist with the project scopes, subcontract agreements and exhibits.

ï‚· Assist in maintaining construction project schedules.

ï‚· Prepare and maintain monthly project status reports.

ï‚· Track and manage change orders, RFIs and submittals.

ï‚· Apply for, track, and manage permits as well as required security bonds and assist in closing out permits and bonds at project completion.

ï‚· Coordinate ComEd and other franchise utility companies or other related consultants.

ï‚· Participate in various construction meetings and assist team with meeting minutes.

ï‚· Assist with project closeout process including the General Contractor, lender and the property management team.  

ï‚· Oversee general correspondence and manage responses.

ï‚· Oversee administrative duties needed by the project team.

ï‚· Ensure accountability and bridge the operational gap between planning and execution.

POSITION REQUIREMENTS:

ï‚· BS in Construction Management, Business Administration, or a related major preferred. (May be waived based on experience and skill set).

ï‚· 2 years’ experience in construction or a related industry, utilizing the skills outlined above under Major Responsibilities.

ï‚· Excellent verbal and written communication skills.

ï‚· Highly organized with excellent time management and priority setting skills.

ï‚· Must have the ability to coordinate multiple assignments and projects in a fast-paced environment and effectively resolve conflicting priorities.

ï‚· A strong work ethic, detail-oriented, and self-motivated personality with the ability to problem-solve independently and follow through on tasks assigned.

ï‚· Proficient in reading and understanding construction documents and drawings.

ï‚· Ability to assume responsibility and interact well with Project Team.

ï‚· Focused on continual process improvement.

ï‚· Solid experience and skills working in MS Office, MS Project, Outlook, Adobe Suite, Bluebeam and similar.
